The Operations and Logistics Coordinator plays a central role in ensuring the accurate, efficient, and timely delivery of high-quality catering services to aviation clients. This position requires meticulous attention to detail, strong leadership, and the ability to coordinate multiple moving parts within a fast-paced operational environment.
The successful candidate will oversee all aspects of kitchen operations, stock management, client orders, dispatch, and logistics while ensuring compliance with company policies, hygiene standards, and client service excellence.
Key Responsibilities
1. Order and Delivery Management
- Ensure all client orders are accurately processed and delivered timeously.
- Maintain detailed knowledge of client preferences, flight cycles, and specific service requests.
- Oversee the complete order lifecycle—from order placement to final delivery.
- Guarantee error-free and punctual deliveries through proactive planning and communication.
2. Stock and Procurement
- Accurately forecast and order stock for the kitchen to prevent shortages or delays.
- Maintain accurate stock levels, ensuring compliance with quality and hygiene standards.
- Complete monthly stock takes on time and submit accurate reports.
- Supervise the packaging store and ensure correct stock rotation and storage conditions.
- Investigate and source innovative packaging and product options aligned with client expectations.
3. Operations Oversight
- Assume full operational responsibility when on shift, including supervision of kitchen and logistics teams.
- Support chefs and production staff in meeting deadlines and managing special client requests.
- Coordinate the efficient dispatch of deliveries and collections.
- Implement systems to enhance productivity, efficiency, and service delivery.
- Ensure compliance with company policies, safety procedures, and quality control standards.
4. Vehicle and Driver Management
- Manage company vehicles, ensuring maintenance, cleanliness, and service schedules are adhered to.
- Monitor driver rosters, shift allocations, and vehicle usage to maximize efficiency.
- Verify vehicle movement using tracking reports and ensure compliance with licensing and insurance requirements.
- Oversee dispatch planning, ensuring combined routes for shopping and collections where possible.
5. Client and Financial Administration
- Ensure all cash and credit transactions are correctly invoiced and settled within agreed terms.
- Accurately document all amendments and client instructions.
- Maintain professional communication and ensure client satisfaction through courteous and prompt service.
6. Food and Beverage Management
- Monitor stock availability and assist chefs in managing inventory and supplier relationships.
- Oversee the accurate packing of bar boxes and ensure specific client requests are fulfilled.
- Maintain detailed records of deliveries, returns, and product dispatch.
- Ensure products are correctly labelled and dispatched within optimal timeframes.
7. Safety, Hygiene, and Maintenance
- Maintain cleanliness and hygiene across all kitchen, storage, and dispatch areas.
- Oversee pest control, equipment maintenance, and temperature logs for fridges and freezers.
- Report and follow up on maintenance and safety concerns promptly.
- Ensure compliance with all food safety and health regulations.
8. Documentation and Reporting
- Complete daily aircraft summary sheets, stock returns, delivery notes, and bin collection records.
- Accurately record all dispatched products and any variances.
- Submit daily management handover reports for continuity of operations.
9. Team Leadership
