Job Description:
  • We are seeking a detail-oriented and organized Branch Administrator to join our engineering firm. The Branch Administrator will play a crucial role in supporting the branch's operations and ensuring smooth day-to-day functioning. The ideal candidate will have excellent communication skills, be proficient in managing multiple tasks efficiently, and have a strong understanding of administrative processes within the engineering industry.
  • Responsibilities:
  • Provide administrative support to the branch office and staff members.
  • Manage office supplies, equipment, and inventory to ensure smooth operations.
  • Coordinate and schedule meetings, appointments, and events for the branch.
  • Assist in the preparation and distribution of reports, presentations, and proposals.
  • Handle incoming and outgoing correspondence, including phone calls and emails.
  • Maintain and update filing systems, databases, and records in accordance with company policies.
  • Monitor and track branch expenses, budgets, and financial transactions.
  • Assist in the onboarding of new employees and provide administrative support to HR processes.
  • Liaise with clients, vendors, and other external parties as necessary.
  • Duties:
  • Oversee the day-to-day administrative tasks of the branch office.
  • Collaborate with the branch manager and staff to ensure operational efficiency.
  • Monitor and maintain office policies and procedures to uphold standards.
  • Support team members with administrative tasks as needed.
  • Manage office communication channels and ensure timely responses.
  • Assist in project coordination and tracking of deadlines.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Stay updated on industry trends and developments to support branch activities.
  • Key Skills:
  • Proficient in Microsoft Office suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication abilities.
  • Attention to detail and accuracy in handling administrative tasks.
  • Ability to prioritize tasks and manage multiple deadlines effectively.
  • Knowledge of basic accounting principles and budget management.
  • Customer service-oriented approach to handling inquiries and requests.
  • Team player with the ability to work collaboratively in a fast-paced environment.
